ECESWA eServices – Online User Manual

Welcome to the Examinations Council of Eswatini (ECESWA) eServices portal. This manual will guide you through each step of using the online system to apply for services.

1. Getting Started

The ECESWA eServices portal allows you to apply for various examination-related services online. Here is the general process:

2. Creating an Account

Before you can submit an application, you must create an account:

  1. Click the Register link on the login page or service info pages.
  2. Enter your Full Name, Email Address, and choose a Password.
  3. Click Create Account.
  4. Once registered, you will be redirected to the login page.
Important: Use a valid email address as this will be used for communication regarding your application.
3. Logging In
  1. Click Login from the top navigation bar.
  2. Enter your registered Email and Password.
  3. Click Login. You will be taken to the Dashboard.

If you are not logged in and click Apply Now on any service page, you will be redirected to the login page first.

4. Using the Dashboard

The Dashboard is your home page. It displays all available ECESWA services as clickable icon tiles:

  • Click on any service tile to view its detailed information page, including requirements, fees, and processing times.
  • Each service page has an Apply Now button at the top and bottom for quick access.
  • Use the sidebar Dashboard link to return to the home page at any time.
5. Available Services
a) Certification and Verification

Certify your qualifications issued by ECESWA.

Required Documents:

  • Copy of original certificate
  • Certified copy of National ID (front & back) or birth certificate (below 16 years)
  • Proof of payment

b) Verification of Results for Institutions

For institutions verifying the authenticity of candidates' results or certificates.

Required Documents:

  • Official request letter on institutional letterhead
  • Copies of certificates / results to be verified
  • Proof of payment

c) Certifying Statements (Lost Certificate)

Replacement for candidates who have lost their certificates. Provided within 4 weeks.

Required Documents:

  • Certified copy of National ID (not older than 3 months)
  • Letter from school / centre
  • Police report
  • Proof of payment
  • Proof of name change (if applicable)
  • Consent / authorization letter (if collecting on behalf of someone)

Fees: JC – E550 | EGCSE/O'Level – E650 | Cambridge – E3,000

d) Replacement of Certificates

For damaged certificates or changes in particulars. Available within 18 months of original issue.

Required Documents:

  • Damaged / defaced certificate
  • Certified copy of National ID
  • Letter from school / centre
  • Proof of payment

Fees: EPC – E500 | JC – E550 | EGCSE – E4,100

e) Statement of Results (SOR)

Replacement or reprinting of statements of results. Provided within 24 hours.

  • Letter from school / centre

f) Combination of Results (JC Only)

Combine JC results from different examination sessions into a single statement.

Required Documents:

  • Certified copy of National ID
  • Original statements of results (all sessions)
  • Letter from school / centre
  • Proof of payment

g) Remarking of Examination Scripts

Re-assessment of examination scripts. Must apply within 3 months of results release.

Required Documents:

  • Certified copy of National ID
  • Original results slip / statement of results
  • Proof of payment (per subject)

Processing Time: 20 working days. Fee refunded if grade changes.

h) Refunds

Refund of overpayments or payments for services not rendered.

Key Information:

  • Nature of Fee: Subject or Overpayment
  • Levels: EPSA, JC, EGCSE, EPCSE, AS/A Level
  • An E150.00 admin charge is deducted from the refund

Required Documents:

  • Copy of receipt / proof of payment
  • Certified copy of National ID
  • Medical report (if illness-related withdrawal)
  • Death certificate (if death-related withdrawal)

Processing Time: 15 working days. Approved by Director EARP, Accounts Officer, and Finance Manager.

i) Registration as an Examination Centre

For schools and institutions wishing to register as official ECESWA examination centres.

Required Documents:

  • Proof of registration with the Ministry of Education and Training
  • Inspection report from the Ministry
  • Proof of adequate and secure storage facilities
  • Proof of payment

Processing Time: Up to 4 weeks (subject to inspection)

6. Submitting an Application

Follow these steps to submit an application for any service:

  1. Navigate to the service – Click on the service tile from the Dashboard.
  2. Review requirements – Read the information page carefully, including fees and required documents.
  3. Click "Apply Now" – You must be logged in. If not, you will be asked to log in first.
  4. Fill in Personal Details – Surname, first names, date of birth, ID number, contact number, email, and postal address.
  5. Fill in Examination Details – Qualification, year, centre number, candidate number, and centre name (varies by service).
  6. Fill in Service-Specific Fields – Each service has its own additional fields (e.g., refund amount calculation, subjects to remark, institution details).
  7. Upload Required Documents – Each service has specifically labelled upload fields. Fields marked with * are mandatory.
  8. Click "Submit Application" – You will see a confirmation page once your application is submitted.
After Submission: Your application status is set to Pending. You will be notified via email once it has been processed.

Each service requires specific documents. Below is a summary:

Document Upload Tips
  • Accepted formats: PDF, JPG, PNG, DOCX
  • Ensure documents are clear and legible
  • Certified copies of ID must be certified within the last 3 months
  • Each document has its own labelled upload field – upload the correct document to the correct field
  • Incomplete document submissions will delay processing
8. Payment Information

Payment must be made before submitting your application. The following payment methods are accepted:

  • Cash Deposit – At any of the banks listed below
  • Electronic Funds Transfer (EFT)
  • Speedpoint / Card Swiping – VISA Card, Maestro Card
  • MTN MoMo – 78891990 (for applicable services)
Cash payments are NOT accepted on ECESWA premises.

9. Frequently Asked Questions
Q: Do I need to create an account to view service information?

No. All service information pages are publicly accessible. You only need to log in when you click Apply Now to submit an application.


Q: What happens after I submit my application?

Your application is set to Pending status. ECESWA staff will review your application and attached documents. You will be notified via email once processing is complete.


Q: Can I apply for multiple services at once?

Yes. Each application is independent. You can submit separate applications for different services.


Q: What file formats are accepted for document uploads?

PDF, JPG, PNG, and DOCX are all accepted. Please ensure files are clear and legible.


Q: How long does processing take?

Processing times vary by service: Statement of Results – 24 hours | Combination of Results – 5 working days | Institution Verification – 5 working days | Refunds – 15 working days | Remarking – 20 working days | Certifying Statements – 4 weeks | Examination Centre Registration – up to 4 weeks.


Q: How is the refund amount calculated?

The refund amount equals the original amount paid minus an E150.00 administrative charge. The system calculates this automatically when you enter the amount paid on the refund application form.


Q: I forgot my password. What should I do?

Please call us on 24178000 (Mon–Thu 08:00–16:30, Fri 08:00–16:15) for assistance with your account.


Q: Can someone else collect my certificate on my behalf?

Yes, but you must provide a consent and authorization letter or affidavit, along with a certified copy of the third party's National ID or passport.
